1. Administrative Operations 1.1. Ensures that all files, forms, and other documents are filed orderly and are ISO compliant. 1.2. Keep and update names, addresses and contact numbers, and relevant information regarding landlords, tenants, clients, contractors, and other persons related to the property. 1.3. Ensure that all meetings are properly coordinated to avoid schedule conflicts. 1.4. Deliver excellent customer service and establish rapport and exhibit proper conduct in dealing with tenants, guests, and property management groups. 1.5. Record, transcribe, and disseminate minutes of the meeting. 1.6. Assist the Admin Manager or Property Manager in the preparation of reports and correspondences. 1.7. Assist the Admin Manager or Property Manager in preparing violation notices to tenants. 1.8. Assist the Property Manager in preparing correspondence and memorandum for the property/site. 1.9. Prepare all purchase requisitions, purchase orders, and request for payments (if applicable) as well as monitor the delivery of items requested as per purchasing guidelines of the building. 1.10. Ensure that the Administration and Front Office Desk are always kept clean and presentable. 2. People Management 2.1. Assist the immediate superior in assessing the performance of the team. 2.2. Assist the immediate superior in conducting the regular meetings on site. 3. Financial Operations 3.1. Proper handling of PCF and ensuring that all documents are attached accordingly. (if applicable) 3.2. Ensure that PCF is always intact. 3.3. Prepare all billings to owners/tenants and ensure that all billings are paid by the tenants on or before the specified dates. 3.4. Ensure that all billings are accurate and disseminated and collected in a timely manner (if applicable). 4. Vendor Management 4.1. Assist the immediate superior in collation, and documentation pertinent to building vendors. 4.2. Assist the immediate superior in monitoring Building Operations, Security, and Housekeeping 5. Technical Operations 5.1. Inspect the building briefly at least once a week and advise the head/s of all the observations noted. 5.2. Be familiar with the technical aspects of the property. 6. Health and Safety 6.1. Assist the Technical in monitoring the 52-week calendar and ensure Technical Checklist is up to date. 7. Business Development 7.1. Set regular catch-up meetings with landlords, tenants, and other stakeholders. (Catch Up is aligned with the Property Manager) 7.2. Customer Survey Ratings of Landlords. Ensures that PM provides the best quality of service to the landlords. Creation of a mutually beneficial business relationship 7.3. Customer Survey Ratings of Tenants. Ensures that PM provides the best quality of service to the tenantscreation of a mutually beneficial business relationship. 8. Operational Enhancement 8.1. Suggests ways to streamline the administrative process to offer the best service to the clients. 9. Personal Development 9.1. Participates actively in KMC activities such as corporate meetings, training, social affairs, and other company activities. 10. Others Perform other related works that may be assigned by the Management.
